EA to Managing Directors, Investment Management – Hybrid working offered! Offices based in Victoria £30-34 per hour (approx. £60k per annum) 12-month maternity cover initially 9am – 5pm Our client, a leading global investment management firm, is seeking a highly experienced Executive Assistant to provide dedicated support to 3 Managing Directors and 2 Executive Directors. This is an excellent opportunity to join a fast-paced, professional environment where you will act as a trusted partner to senior stakeholders, ensuring seamless coordination of business activities and executive priorities. The role is based a short walk from Victoria station, and requires a minimum of four days per week in the office. WHAT YOU’LL DO: Provide seamless support to 3 Managing Directors and 2 Executive Directors. Manage complex and ever-changing calendars across multiple international time zones. Act as a strategic partner to senior leaders, prioritising requests, coordinating schedules, and resolving conflicts effectively. Coordinate domestic and international travel arrangements, including flights, accommodation, ground transportation and visa requirements where applicable. Prepare and process expense reports accurately and in line with company policies. Organise and coordinate virtual and in-person meetings, including venue bookings, technology requirements and catering. Support client interactions, leadership meetings and key business initiatives. Serve as a professional liaison for internal and external stakeholders, maintaining strong relationships across the organisation. Handle highly confidential information with discretion, professionalism and sound judgement. WHO YOU ARE: Minimum of 10 years' experience supporting senior executives within financial services, banking, or investment management environments is highly desirable. Demonstrated expertise in managing complex calendars and coordinating international travel across multiple time zones. Exceptional organisational skills with strong attention to detail and the ability to manage competing priorities. Excellent written and verbal communication skills. High levels of emotional intelligence, professionalism and stakeholder management capability. Proactive, solutions-focused approach with strong decision-making skills. Confidence in managing upwards and setting clear expectations with senior stakeholders. Advanced proficiency in Microsoft Outlook and experience using expense and travel management systems such as Concur. Ability to work onsite in Victoria at least four days per week, with occasional flexibility outside standard business hours when required.
Independent management of administrative processes within established frameworks. Includes calendar governance, travel coordination, stakeholder interaction and process ownership. Judgement is primarily procedural but autonomy is growing.
