Job Summary: The Executive Assistant to the CEO provides high-level administrative and professional support to enable the CEO’s effectiveness and focus. Acting as a central coordination point, the role manages priorities, information flow, and logistics to ensure the CEO is well prepared, meetings and activities run seamlessly, and organizational commitments are met. The position builds strong relationships across the organization and with external stakeholders, supports executive communications, and leads continuous improvement of administrative practices and workflows to enhance efficiency and service across the CEO’s office. Key Accountabilities: Ensures the CEO is fully prepared for all engagements through proactive briefings, risk/issue identification, and prioritization of matters requiring attention. Manages complex scheduling, meetings, and travel logistics, ensuring seamless planning and execution of all administrative activities. Handles sensitive information and resolves high-risk or ambiguous issues independently, escalating appropriately to protect organizational interests. Establishes and continuously improves efficient processes, workflows, and administrative practices to support the CEO’s effectiveness. Manages the budget for the Office of the CEO, including tracking, forecasting, reconciliation, and oversight of expenses, purchase requisitions, and approvals to ensure accurate and compliant financial management. Leads the planning and execution of large-scale strategic events and meetings, including stakeholder engagement, end-to-end logistics, cross-enterprise coordination and structured outcome planning to ensure alignment with approved meeting objectives. Builds strong, trusted relationships across internal and external stakeholders, while coaching and guiding the broader EA community to deliver high service standards. Supports and coordinates executive communications and leads special projects, ensuring clear, consistent organizational messaging and delivery of key initiatives. Minimum Required Qualifications: Education and Experience Post-Secondary Diploma or Degree in a business related discipline. Minimum ten years progressively responsible related experience which includes at least five years’ experience in a senior executive support role with project management experience, budgeting and business planning exposure. An equivalent combination of education and experience may be considered Technical Requirements Advanced experience supporting senior executives, with strong judgment in handling confidential and sensitive matters. Expertise in calendar management, travel planning, meeting/event coordination, records management, and expense/procurement processes. Strong ability to organize, prioritize, and manage multiple competing demands with effective time management and attention to detail. Working knowledge of project coordination and implementation, with a focus on improving processes and driving efficiency. Proficient in office productivity tools and familiar with systems such as SAP or similar ERP platforms. Highly effective written and verbal communication skills, with a customer-service mindset and ability to support and influence stakeholders at all levels. Strong analytical thinking, sound judgment, and general business understanding to anticipate issues and identify solutions. Ability to coach and support others, take initiative, and continuously improve administrative practices and service delivery.
