About this role

We are seeking an exceptional Team PA to join an incredibly busy and fast paced HR function within a global advisory company. This is a dynamic and highly visible role supporting the team, with a particular focus on recruitment coordination, interview scheduling, and complex diary management. Operating in a fast-paced, high-performance environment, you will be responsible for coordinating recruitment activity across multiple business areas, managing competing priorities and ensuring a seamless experience for candidates, hiring managers, and senior stakeholders. This role requires a highly organised individual with outstanding attention to detail, excellent communication skills, and the ability to remain calm and professional under pressure. What you’ll do: Manage high-volume interview scheduling across multiple business divisions and seniority levels. Coordinate candidate interviews across multiple time zones, ensuring a smooth and efficient process. Liaise closely with recruiters, hiring managers, candidates and executive assistants to arrange interviews and assessment activities. Monitor recruitment pipelines and proactively manage scheduling changes and conflicts. Ensure all interview logistics, documentation, and communications are delivered accurately and on time. Support onboarding activities for new hires. Provide complex diary management for senior HR leaders and team members. Coordinate internal and external meetings involving senior stakeholders across the business. Arrange conference calls, video meetings, and team events. Anticipate scheduling conflicts and proactively identify solutions. Prepare presentations, reports, meeting agendas, and supporting documentation. Organise team meetings, training sessions and HR events. Maintain accurate records and ensure compliance with internal procedures. Handle sensitive and confidential information with the utmost discretion. Provide ad hoc support on HR initiatives and projects as required. What you’ll need: Previous experience as a Team Assistant, PA or Executive Assistant role within a fast-paced corporate environment. Strong attention to detail is essential. Excellent organisational skills with the ability to manage multiple priorities simultaneously. Strong stakeholder management and communication skills. High levels of professionalism, discretion, and attention to detail.
